Our exclusive and growing client, located in the South-West End of Ottawa, is currently looking for a Bilingual Executive Assistant to join their team on a full-time permanent basis.
***This is a fully in-office position (not hybrid / remote).***

Required skills and qualifications:
- Must be fluently bilingual (English and French)
- 2-3 years’ experience as an Executive Assistant or Operations Coordinator
- Technically and technologically competent, especially with electronic and virtual meeting platforms
- Demonstrate a high degree of professionalism and discretion; maintain confidentiality, be respectful and diplomatic
- Strong initiative and ability to work independently with minimal supervision
- Strong prioritizing and multi-tasking; adaptability to changing priorities
- Highly self-motivated with a positive attitude
- Strong analytical thinking, judgment, and problem solving skills
- Previous experience with OASIS and/or Maestro considered an asset
Duties may include but are limited to:
- Maintain and manage the calendars of up to 5 Managers – mainly 2
- Organize and manage an active calendar including scheduling – meetings, engagements and appointments
- Arrange all logistics for meetings/events – travel, accommodation, equipment and catering
- Attend meetings and record and distribute minutes
- Manage incoming correspondence by prioritizing and determining appropriate course of action
- Draft, edit and proofread documents on behalf of the Managers
- Manage and foster relationship with clients, partners and stakeholders
- Maintain a high degree of confidentiality for all matters
- Track project deadlines
- Assist with the coordination of team and client appreciation events
- Manage approval and tracking systems of office expenses while sourcing and purchasing office supplies from appropriate vendors
- Assist with streamlining processes or defining SOPs with management team, process expense reports, filing and clerical work as needed
- Other office duties as assigned
Monday to Thursday – 8:00am to 4:30pm
Friday – 9:00am to 3:30pm
Salary: $65,000 – $80,000 per year depending on experience
